Operations Coordinator (a.k.a. Office Ninja) – OEFFA
The Ohio Ecological Food and Farm Association (OEFFA) is seeking a highly motivated, organized, and broadly experienced individual to serve as Operations Coordinator who will be responsible for a variety of administrative functions including human resources, benefits administration, office and property management, and IT. The Operations Coordinator will play a key role in maintaining a productive and efficient work environment for OEFFA staff and others. Duties of the Position
Collaborating with program area supervisors and business office staff, example responsibilities of the Operations Coordinator are:
Serve as chief human resources administrator (approximately 40% of time).
Assist in the hiring process, including posting open positions and coordinating reference checks
Coordinate employee on-boarding and exiting
Maintain up to date personnel information and files
Maintain updated job requirements and job descriptions for all positions
In coordination with Business Office, manage and administer employee benefits (including health insurance, retirement plan, supplementary insurance, etc.), working with both employees and vendors
Respond to requests for information and submit paperwork, as needed, to external agencies such as Bureau of Workers Compensation, Ohio Department of Jobs and Family Services, verification of employment, etc.
Maintain employee handbook, contribute to policy development and revision, and ensure compliance of policies with applicable employment laws
Participate in disciplinary and termination meetings
Maintain OEFFA’s office and property (approximately 40% of time).
• Building management
Act as primary facilities manager, ensuring the space remains safe, clean, and workable
Be primary contact for OEFFA and building tenants regarding leases, rent, and maintenance needs
Communicate with facilities management service, prioritize needs for the service technician
Stock building supplies
• Office management
Stock and order adequate supplies and furniture for programs and general office operations
Maintain and update office technology as needed, including phone systems, copiers, computer hardware, and software
Ensure that lease vehicles are properly maintained
Coordinate business operations (approximately 15% of time).
Ensure that all state and federal business reports are filed in a timely manner
Manage registrations for OEFFA’s annual conference
• Provide executive support (approximately 5% of time). As requested, assist the Executive Director with:
Research and follow up on incoming issues and concerns

Qualifications

Finance and Administration Manager, Clean Fuels Ohio
Clean Fuels Ohio is looking for a Finance and Administration Manager to manage financial affairs of a non-
profit organization with an annual operating budget of $800K to $1M. Revenue is earned from a wide range of sources including grants, government and consulting contracts, membership, and sponsorships.
Additionally, the candidate will be responsible for organizational administration duties including planning,
organizing, and implementing administrative systems.
About Clean Fuels Ohio:
Clean Fuels Ohio is a non-profit organization that is dedicated to making Ohio a cleaner, healthier and more
prosperous state. In addition to partnering with organizations to implement advanced fuel solutions and
vehicle technologies, we are helping to build a statewide fueling and charging infrastructure that supports
these efforts. We also collaborate with partners in the transportation industry and local, state and federal
government to promote the use of advanced fuels and clean vehicle technologies and to reduce barriers in
order to create and maintain a level playing field for our members and stakeholders.
Qualifications:
Associates degree (minimum), Bachelor’s in accounting or finance preferred and at least two years of
professional financial-related experience. Experience with Quickbooks preferred. The employee must be
comfortable working in a team environment. Experience with non-profit accounting preferred. Experience in
Salesforce preferred, but not required.
Responsibilities Include:
Financial Roles
• Manage all areas of accounting including billing and collections, cash disbursements, payroll, cash
requirements and monthly reconciliations.
• Prepare reports from QuickBooks and selected special reports using Excel. Work with the Executive
Director, Chief Operating Officer, Chief Financial Officer and Treasurer on budgeting, financial
management, troubleshooting, financial projections and reporting to the Chief Financial Officer.
• Manage all aspects associated with the organizational payroll process and system (i.e. health and
retirement benefits, PTO tracking, etc.)
• Manage ACH and credit card payment procedures
• Monitoring and tracking, on a regular basis, grant budgets vs. expenditures
• Lead efforts related to financial record keeping and financial processes around the submission and
administration of grants and contracts
• Monitor internal financial controls for funds expended and received under government contracts,
membership, sponsorship, and other revenue sources.
• Manage accounting of various government and private grant funds. Ensure proper allocation of payroll
and other expenses to grants. Oversee funds passed through to grant sub-recipients. Bill indirect rate on
grants to cover overhead costs. Work with staff grants administration team under Board oversight.
• Oversee preparation for annual audit and tax reporting. Work with auditor before, during and after
audit.
Administrative Roles
• Manage the integration of Salesforce as a management and tracking tool related to organizational
financials
• Developing, reviewing, and improving administrative systems, policies, and procedures
• Manage the requirements around securing and renewing organizational permits (i.e. workers comp.,
charitable giving, etc.)
• Act as liaison between staff and technology support team
• Ensure operations adhere to policies and regulations
• Monitor inventory of office supplies and the purchasing of new material with attention to budgetary
constraints
• Manage organizational purchases as needed related to supply orders, occasional staff travel, and general
office expenditures

ENVIRONMENT PROGRAM ASSISTANT
The C.S. Mott Foundation has an immediate opening in its Flint office for a program assistant in the Addressing the Freshwater Challenge area of its Environment program. The individual filling this position will be part of a seven-person team working on the Foundation’s environmental grantmaking.
The Addressing the Freshwater Challenge program area aims to promote sound policies to protect, restore and enhance the environment and the well-being of people in the Great Lakes region. The program area provides support under two grantmaking objectives: Strengthening the Environmental Community (SEC), through which we seek to build the capacity of individual leaders, nonprofit organizations, and regional coalitions; and Public Policies, through which we help focus the freshwater community on creating and implementing effective policy solutions. The aims of the two objectives reinforce one another, as strong and enduring organizations are required to sustain environmentally protective reforms. The experience of the Flint water crisis has led to increased emphasis in several areas for the Foundation, including within the Environment program. We have become more focused on ensuring that clean, fresh and affordable drinking water is available for all people throughout the region. This requires policy reform, infrastructure funding, and greater attention to public health.
Responsibilities
Responsibilities include grant processing and administrative functions, responding to telephone and written requests for information about grantmaking interests within the Environment program, conducting research on assigned topics, and otherwise assisting program officers with their workloads. An important responsibility is representing the Mott Foundation at meetings and in discussions with grantees and partners.

Position Summary
Review Support Specialists support technical staff by undertaking administrative review tasks related to renewal applications for organic certification. This work involves processing, classifying, and organizing incoming applications and inspection reports and providing prompt customer service. They participate in administrative tasks such as application check-in, tracking, and routing correspondence.
This is a full-time position (40 hours/week) based in our Columbus, OH office. Telecommuting is not an option. We expect this position to begin no later than May 20th , 2019.

– Check-in applications for certification and evaluate them for completeness and consistency
– Verify that Inspection Reports are complete and request missing items from inspectors and
operators as necessary
– Verify priorities for renewal operations and route applications and reports accordingly
